Position Overview
We are seeking a friendly, professional, and highly customer-focused Administrative & Patient Services Coordinator to join our team. This position plays an important role in creating a positive experience for our patients while providing administrative and operational support to our audiology team. The ideal candidate genuinely enjoys helping people and takes pride in providing exceptional customer service. Professionalism, friendliness, patience, and a positive attitude are essential. The ability to communicate effectively with a diverse patient population is especially important.
Key Responsibilities
- Serve as the first point of contact for general inquiries, walk-in audiology patients, and minor hearing aid repairs.
- Provide exceptional, friendly, and professional customer service to patients via phone, email, chat, and in person.
- Create a welcoming and positive experience for every patient and visitor.
- Check patients in and assist with general front-office administrative needs.
- Accurately enter and maintain patient information and documentation in patient charts and databases.
- Check in hearing aids and maintain accurate logs and records.
- Communicate with insurance companies regarding patient coverage, benefits, and claims.
- Prepare and process shipments of hearing aids to hearing aid manufacturers.
- Assist Audiologist Technicians with daily tasks and patient service needs.
- Assist with routine hearing aid services and minor repairs.
- Monitor and organize office and hearing aid supply inventories.
- Communicate inventory needs to the appropriate team members and order departmental supplies.
- Prepare and process purchase orders.
- Create and modify documents using Microsoft Office and Adobe Acrobat.
- Create invoices and sales receipts using QuickBooks.
- Maintain confidentiality and handle patient information with professionalism and discretion.
- Work closely with the administrative and clinical teams to support efficient daily operations.
- Perform other duties and related tasks as assigned.
Required Qualifications & Skills
- Fluent in Papiamentu and Dutch.
- Working customer-service proficiency in Spanish and English.
- Strong customer service skills with a genuine desire to help patients.
- Friendly, approachable, and professional demeanor.
- Excellent verbal and written communication skills.
- Professional and courteous telephone and in-person communication.
- Ability to communicate effectively with patients from diverse backgrounds.
- Ability to remain patient, calm, and helpful when assisting customers with questions or concerns.
- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to prioritize and manage multiple tasks in a busy environment.
- Ability to handle confidential and sensitive information appropriately.
- Proficiency with Microsoft Office and Adobe Acrobat.
- Experience with QuickBooks preferred.
- Previous administrative, medical office, healthcare, or customer service experience preferred.
- Ability to learn hearing aid terminology, insurance, and practice-management systems.
- Dependable, punctual, and able to work effectively as part of a team.

Position Type: Full-Time
Initial Term: 6-Month Contract / Probationary Period
Potential Transition: Permanent Full-Time Employment following successful completion of the 6-month period.
